Customer Service and Reservation Specialist

Job Type: Full-time, Year Round, 30-60 hours a week

Position Description:

As a member of Epic Getaways and Retreats, this role reports to and assists the General Manager in achieving the company goals. The primary focus of this position is to create a pleasant and engaging experience for our many customers through inbound and outbound call efforts, concierge services and administrative responsibilities, working closely with the General Manager and other team members. You will serve as the face of the company as you interact with current and prospective customers via phone, email and on-site interaction.

Role and Responsibilities:

  • Field incoming phone calls and emails
  • Guide incoming callers through the reservation process
  • Up-sell the properties with sales scripts and in-depth resort knowledge
  • Meet and/or exceed targeted occupancy goals, and revenue creation on a daily, weekly and monthly basis
  • Work with existing guests to obtain new customers through referral programs
  • Maximize sales by extending the stays of customers and reserving future bookings
  • Greet and establish rapport with guests. Field all guest comments, suggestions, and complaints
  • Check guests in and out for their reservations with help of General Manager
  • Assist guests with concierge type services: Directions, restaurant recommendations, recreation packages and preferred service providers
  • Collect reservation payments and funds for other services
  • Prepare and distribute resort communications such as rule reminders, violation notices, etc.
  • Assist with planning and coordination of guest events and activities
  • Support marketing efforts by maintaining mailing lists, responding to inquiries and providing feedback on current promotions
  • Ability to “Think on your feet” and respond appropriately in a busy environment.
  • Other duties as assigned

 Requirements Qualifications:

  • High School Diploma
  • Must be available on weekends and holidays
  • Customer service, administrative and hospitality experience preferred
  • Strong telephone and customer service skills
  • Good problem-solving skills
  • Professional appearance
  • Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, internet, and provide data entry in a timely and efficient manner
  • Previous experience using reservation software, a plus
  • Resort office or hotel front desk experience, a plus


  • Hourly position, rate is dependent on candidates experience
